JOB DESCRIPTION: GENERAL VIRTUAL ASSISTANT (BUILDING & CONSTRUCTION)

Purpose: The position is responsible for providing timely and accurate administrative support. This position is
responsible for supporting the client to help him stay organized and complete tasks that allow him to focus on
more advanced responsibilities. The role is integral to the success of the business.
DAYSHIFT WORK FROM HOME
8 AUD per Hour
Number of VAs: 1
Work schedule: 8am-1pm, Mondays through Saturdays (Perth time)
Target start date: February 3, 2025

Duties and Responsibilities:
  • Admin tasks like handling paperwork/soft copies
  • Scheduling activities
○ Quantity takeoffs (QTO)
○ Reviewing project plans and engineering drawings
○ Send out quote requests
○ Prepare purchase orders
  • Data entry
  • File organization
  • Calendar management
  • Schedule an appointment – as required
  • Schedule and coordinate staff and other meetings – as required
  • Answer emails promptly
  • Prepare communications, such as memos, emails, invoices, reports, and other correspondence – as required
  • Write and edit documents from letters to reports and instructional documents
  • Create and maintain filing systems
  • Respond to service enquiries and requests
  • Communicate and liaise with key stakeholders, suppliers, and traders

Requirements

JOB QUALIFICATIONS
  • Must have relevant experience of 2 years or more in Administrative support.
  • Must have Experience with QTO (quantity takeoff)
  • Strong communication and interpersonal skills
  • Great attention to detail
  • Highly organized with good attention to detail
  • Experience in establishing and maintaining effective administrative systems and processes
  • Ability to work autonomously and as a team member
  • Experience in Xero is highly preferred
  • Deep understanding of the building and construction industry
