We are seeking an Operations & Enrollment Coordinator who will be a vital member of our team, supporting seamless day-to day university operations and driving the enrollment process from inquiry to graduation. This is a dynamic, highly visible role that interacts with prospective students, current learners, faculty, and external partners. The ideal candidate will be organized, service-minded, technologically savvy, and passionate about contributing to the success of a faith-based institution that develops both the mind and spirit. Key Responsibilities: 1. Enrollment & Admissions Support • Manage the full enrollment lifecycle: lead tracking, application management, admission processing, and student onboarding. • Actively engage with prospective students (via email, phone, virtual meetings) to provide program information, faith-inspired encouragement, and enrollment guidance. • Maintain accurate data in the university’s CRM system; monitor conversion rates and provide actionable insights to the leadership team. • Collaborate with marketing partners and internal marketing team to nurture prospective student leads. • Coordinate with international and U.S. Coordinators to ensure consistent enrollment practices across markets. 2. Operations & Academic Coordination • Support daily operational workflows to ensure a smooth online learning experience for students and faculty. • Coordinate the scheduling of online classes, webinars, and graduation ceremonies. • Assist in faculty support functions such as tracking attendance, distributing materials, and supporting quality assurance processes. • Respond to operational inquiries from current students, embodying VCU’s values of service, excellence, and faith. 3. Student Success & Retention • Monitor and support the student journey through enrollment, onboarding, and ongoing learning. • Participate in retention initiatives and outreach activities to encourage student persistence and success. • Assist in the coordination of special student engagement activities aligned with VCU’s mission (faith-based forums, leadership webinars, graduation planning). 4. Reporting & Continuous Improvement • Prepare regular reports on enrollment progress, operational efficiency, and student engagement metrics. • Identify and recommend improvements to enrollment and operations processes in alignment with best practices in online education. • Ensure operational and enrollment activities comply with VCU’s accreditation standards and internal policies. 5. Partnership & Event Support • Support partnership development by preparing enrollment-related data and reports for external stakeholders and donors. • Provide operational assistance for VCU’s signature events (e.g. international graduation ceremonies, leadership retreats, honorary degree recognitions). • Coordinate with partners in the U.S. and internationally to ensure consistent messaging and operational excellence. Requirements Education & Experience • Bachelor’s degree in Business Administration, Education Management, Marketing, Communication, or a related field. • Minimum of 3 years’ experience in operations management, enrollment coordination, or administrative support within higher education (online education experience strongly preferred). Skills & Competencies • Demonstrated ability to manage complex workflows and prioritize multiple tasks in a remote work environment. • Excellent communication skills—both written and verbal—with a warm, faith-centered tone when interacting with students. • Strong proficiency in CRM tools (Vonza or similar) and online learning platforms (LMS systems). • Ability to work cross-functionally with faculty, leadership, marketing, and external partners. • Strong data management and reporting skills (Excel, Google Sheets, CRM dashboards).
