Schedule: Highly flexible schedule as long as the VA can support interview coordination and administrative tasks effectively. Schedule should allow flexibility for interviews, including after standard business hours.

Scope of Work / Responsibilities
This role primarily focuses on HR and recruitment operations, with additional administrative responsibilities.
Core Responsibilities (Top Priorities)
- Manage interview coordination and hiring support (scheduling, conducting interviews, and taking detailed notes)
- Manage and maintain the CareerPlug platform
- Perform data entry and assist with invoicing tasks
HR & Recruitment Support
- Manage candidate communications and recruitment documentation
- Assist in maintaining structured hiring workflows and processes
- Collect and organize applicant documents
Administrative Support
- Provide general administrative support across HR and operations
- Assist with payroll-related administrative tasks (ADP support, document follow-ups, profile setup)
- Process payments and billing
- Maintain organized records and ensure documentation accuracy
Additional Support
- Provide receptionist or front-desk support as needed
- Assist with ad hoc HR and administrative tasks
Requirements
- At least 1 year of experience in HR, recruitment coordination, or administrative support
- Previous experience as a virtual assistant is preferred
- Experience in home care, healthcare, or similar service-based industries is a strong advantage
- Experience in payroll support or familiarity with payroll systems (e.g., ADP) is an advantage
- Experience with ADP systems is preferred
- Comfortable learning and using platforms such as CareerPlug
Skills & Competencies
- Strong experience in interview coordination and recruitment processes
- Strong English communication skills (written and verbal)
- Strong attention to detail, especially for data entry, documentation, notetaking and interview
- Ability to manage multiple tasks and priorities efficiently
- Organized and structured approach to administrative work
- Experience with invoicing and billing processes
- Ability to maintain professional communication, particularly during interview coordination
Basic requirements
- Must be proficient in speaking and writing English very clearly
- Must have relevant work experience
- Be able to submit an NBI clearance and/or Local Police Clearance background check before onboarding [mandatory]
- Comfortable communicating via video calls with camera on, as needed for interviews and team coordination
