We're Osome - an international fintech startup making the lives of entrepreneurs easier. We help thousands of businesses kick admin, accounting and bookkeeping out of their day-to-day, so they can spend more time on what's important to them. We've developed a unique solution that combines SaaS with a human-in-the-loop approach to provide full-fledged services in real-time.
We’re experiencing rapid growth in both client base and team, which now comprises around 500 people across our offices worldwide. As we continue to scale, we’re looking for more bright minds who are excited to make a real impact by solving complex problems.
The People Operations Team Lead oversees day-to-day HR administration, operations payroll validation, employee data management, and compliance. You will provide hands-on mentorship to the team; building their confidence and skills, while holding a high bar for accuracy and timeliness.
Beyond the data, you are a consultative partner to the business. You don't just process requests; you build meaningful stakeholder relationships and use transparent communication to ensure HR operations align with broader company goals.
What to expect:
You’ll handle real client accounts, not dummy data
Accuracy matters — mistakes don’t hide for long
You’ll communicate with clients and internal teams regularly
If you want to build confidence, judgement, and ownership, it will be.
What you'll do:
Consultative Stakeholder Management
Relationship Building: Act as a trusted advisor to managers and department heads, providing expert guidance and proactively sharing suggestions, ideas and best practices on operational HR matters.
Transparent Communication: Ensure all stakeholders are kept informed of process changes, timelines, and the "why" behind HR decisions to build organisational trust.
Cross-Functional Collaboration: Partner closely with various teams to resolve complex issues and streamline inter-departmental workflows.
2. Process Efficiency & Operational Excellence
Workflow Integrity: Ensure all HR operational processes are executed with minimal errors
Global Alignment: Act as a strong proponent for Global HR initiatives, managing the rollout and amendment of processes.
SLA Management: Drive the team to meet strict turnaround times for the entire employee lifecycle, including new hire setups and off-boarding.
3. Payroll Validation & Compliance
The "Second Eye": Perform the non-negotiable second review of all HR data inputs for payroll (new hires, terminations, salary changes, referrals, etc.) before finance submission.
Audit Readiness: Maintain 100% data accuracy within HiBob and ensure all background checks and documents are accessible at all times.
Regulatory Oversight: Coordinate with local teams to ensure compliance with tax and labor laws, maintaining rigorous audit documentation.
4. Team Leadership & Productivity
Mentorship: Build a nurturing, inclusive environment where the team feels empowered to learn and perform at their best.
Capacity Management: Keep a pulse on team workload and engagement; step in as the primary point of escalation for People Ops issues.
Performance Tracking: Utilise Jira to monitor task volume and ensure the team meets all business SLAs without deviation.
5. Continuous Improvement
Gap Analysis: Maintain an improvement tracker to identify and fix recurring process gaps.
Automation: Drive the implementation of process improvements, such as automating forms and simplifying approval workflows.
Who you are:
You have a proven track record of leading HR operations.
Experience in Malaysia’s Employment Law. Nice to have Singapore’s Employment Law.
Consultative Mindset: You enjoy problem-solving with people, not just for them, and can translate complex HR processes into clear, actionable advice.
Exceptional Communicator: You value radical transparency and know how to manage expectations across different levels of seniority.
Data-Driven & Meticulous: You have an "eagle eye" for detail, especially regarding payroll reconciliation and HRIS management (experience with HiBob and Jira is a plus).
Supportive Mentor: You enjoy helping others grow and take pride in the collective success of your team.
You’ll leave this role better than you started. That’s the goal.
