About the Role

We are seeking a highly professional, detail-oriented, and proactive Executive Assistant to support our Managing Partner and leadership team in a fast-paced financial and private equity environment. This role requires exceptional organizational skills, polished communication, and the ability to manage high-level administrative responsibilities with discretion and professionalism.

The ideal candidate is resourceful, responsive, and capable of anticipating executive needs while maintaining confidentiality and efficiency in investor-facing and operational activities.

Key Responsibilities

  • Manage complex executive calendars, scheduling meetings with investors, executives, and external stakeholders
  • Draft, proofread, and send professional business communications with exceptional written and verbal English skills
  • Coordinate domestic and international travel arrangements, including itineraries, accommodations, and logistics
  • Prepare and manage expense reports, reimbursements, and administrative financial tracking
  • Oversee office supply inventory, vendor coordination, and administrative support tasks
  • Organize, maintain, and improve SharePoint files, folders, and documentation systems
  • Create professional presentations and slideshows using company templates
  • Prepare meeting agendas, notes, follow-ups, and supporting materials
  • Assist with document preparation, reporting, and executive follow-ups
  • Provide ad hoc administrative and operational support as needed
  • Handle confidential projects and sensitive information with a high level of discretion and attention to detail

Qualifications

  • Previous experience supporting executives in finance, investment banking, private equity, venture capital, or related industries strongly preferred
  • Strong professionalism and executive presence when communicating with investors and senior leadership
  • Excellent organizational, multitasking, and time management skills
  • Advanced proficiency in Microsoft Office Suite, especially Outlook, PowerPoint, Excel, and SharePoint
  • Ability to prioritize and manage multiple responsibilities in a fast-paced environment
  • Strong attention to detail, follow-through, and problem-solving abilities
  • Basic accounting knowledge or experience with expense reconciliation is a plus
